Why China, and Why It's Still the Answer

European clubs occasionally ask whether they can source locally — from a UK printer, a German manufacturer, a Portuguese textile company. Sometimes the answer is yes: for small runs of simple printed T-shirts, local suppliers can be cost-competitive and logistically simpler.

But for most esports merchandise categories — custom jerseys, enamel pins, plush toys, acrylic standees, desk mats — China is where the manufacturing capability exists. The infrastructure built over forty years of export manufacturing means that China has factories with the tooling, the labor, and the technical knowledge to produce these products at quality levels that European alternatives simply can't match at comparable prices.

The challenge isn't China itself. The challenge is distance, language, and the information asymmetry between a first-time buyer and a factory that exports to hundreds of clients per year.

The Three Ways to Find a Factory

Channel 1: Alibaba / 1688

Alibaba.com is the most visible route for new buyers. The platform has genuine factories alongside trading companies (middlemen who don't manufacture but source from factories), and the distinction isn't always clear from a listing. 1688.com is the domestic Chinese version — lower prices, no English, requires either a Chinese partner or a translation setup.

Advantage: Massive selection, easy to compare quotes, suppliers are accustomed to dealing with new international buyers.
Risk: Quality is highly variable. A factory with 500 positive reviews might run excellent baseline products but fall apart on your specific customization. "Gold Supplier" status on Alibaba is paid for, not earned.

Channel 2: Trade Shows

The Canton Fair (Guangzhou, twice yearly) is the world's largest import/export trade show and covers every product category relevant to esports merchandise. Licensing World (Las Vegas) and Brand Licensing Europe (London) have entertainment and gaming sections. Trade shows let you see products physically, meet factory sales teams face to face, and get a read on a supplier's operation in 20 minutes of conversation.

Advantage: Best way to find new categories, build relationships, and vet supplier quality visually. You can hold the product.
Risk: Time-intensive, travel cost, and the best deals still require follow-up after the show.

Channel 3: A Sourcing Agent or Partner

An agent or sourcing partner with an established factory network eliminates most of the above risks. They've already vetted the factories, have existing relationships, know which supplier is best for which product type, and can manage QC in-country on your behalf.

Advantage: Fastest path to a vetted supplier, lower risk on first orders, QC infrastructure already in place.
Risk: Agent quality varies enormously. A good agent charges for real value; a bad one just marks up Alibaba quotes and takes a margin they haven't earned.

How to Vet a Supplier

Whether you find a factory on Alibaba or through a recommendation, the vetting process is the same. These are the documents and steps that matter:

Request the business license and export license

Every legitimate Chinese manufacturer has a business license (营业执照). Factories that export directly also have an export license. A supplier that hesitates or refuses to share these documents is a red flag. Verify the company name on the license matches the company you're contracting with.

Request BSCI or Sedex audit reports

BSCI and Sedex audits cover labor conditions, environmental practices, and management systems. For European buyers, these certifications are increasingly required by sponsors and brand partners. Ask for the most recent audit report — confirm it's current (not expired) and covers the specific factory facility, not just the company head office.

Ask for references from comparable clients

A factory that has produced esports merchandise for other European clubs will have references. Ask for one or two contacts you can actually call. If a factory claims to work with major esports brands but can't produce a single contactable reference, treat that claim with skepticism.

Request a factory video walk-through

You can't fly to Guangzhou for every supplier evaluation. A 10-minute video call showing the production floor, storage area, and packaging area tells you more than a hundred product photos. Look for: organized production lines, appropriate equipment for the products they claim to make, and a factory rep who can answer questions without having to check with someone off-camera.

Place a sample order before committing to production

No amount of documentation replaces holding the product. A paid sample order (typically $50–200 depending on product complexity, shipping included) is the final vet. Evaluate color accuracy, material quality, print registration, and finishing. A factory that rushes you past the sample stage is protecting something in their production quality they don't want you to see before deposit.

Payment Terms and Risk Management

Chinese factory payment terms for new relationships are typically 30% deposit, 70% balance before shipment. This structure protects the factory — they won't ship before they've been paid in full — and it's standard enough that you shouldn't try to avoid it on a first order.

What you can negotiate as the relationship matures: extending the balance payment to 30 days after receipt of goods (net-30 against shipping documents), or reducing the deposit percentage. These are second-order-and-beyond terms.

For payment method: T/T (telegraphic transfer / wire transfer) is standard for factory-level transactions. PayPal and credit card payments are available through Alibaba's Trade Assurance program and provide buyer protection, but at a cost — suppliers factor payment processing fees into their prices, and Trade Assurance only covers goods, not your specific brand quality standards.

One rule: Never pay in full before production begins. 30% deposit is the absolute maximum for a first order with any supplier, regardless of how established they seem.

Shipping Options and Real Costs

Sea freight (FCL/LCL): Standard for orders above roughly 1–2 CBM. Transit time from South China to major European ports: 25–35 days. Cost: $150–400/CBM for LCL (shared container), $1,500–3,000/20ft FCL. Most cost-effective for large orders.

Air freight: For urgent shipments or small, high-value orders. Transit time: 5–8 days door-to-door. Cost: $4–8/kg. At $6/kg and 100kg, that's $600 in freight — on top of the product cost. For most merchandise orders, this is a last resort.

Express courier (DHL/FedEx/UPS): Practical for samples and small orders under 30kg. Transit: 3–5 days. Cost: $30–80 depending on weight and destination. Not viable for production orders.

EU Import: Customs, Duties, and VAT

Importing from China into the EU involves two charges beyond shipping:

Import duty: Rates vary by product category under the EU Harmonized System (HS code). Apparel (jerseys, hoodies, T-shirts): typically 12%. Hard goods (pins, acrylic, rubber items): 2.7–6.5%. Your freight forwarder assigns HS codes and calculates duties — ask for the classification on your first shipment and keep it consistent.

VAT: Applied at the point of import in the destination country at local rates (20% in France and UK, 19% in Germany, etc.). VAT is reclaimable by registered businesses — this is not a permanent cost, just a cash flow consideration.

Practical implication: Build 15–20% into your landed cost estimate to cover duty and VAT cash flow, then recover the VAT through your normal tax process.

Pourquoi la Chine reste la bonne réponse
